This article will outline the steps to create shareable links, that everyone in the organization can access, for sharepoint files that may reside in folder locations that otherwise have narrower access permissions.
This can be particularly useful for training and policy materials that need to be communicated organization wide, but are located in the managing teams' sharepoint space. In such an example, documentation referencing the file would use the shareable link rather than the file's folder location.
- Locate the file
- Navigate to sharepoint (connorgp1.sharepoint.com), select the documents tab on the left, and locate the file you wish to share
- Click the Share button at the top menu (or right click the file and select share)
- On the Share Menu that pops up, click the gear icon for Link Settings
- On the link settings menu, choose who you want to share the file with. For company wide training material and policies, for example, select "People in Connor Group, Inc"
-
Adjust the permissions! The default setting is "Can edit". For many files you'll want to select "Can view". Then Select Apply
- Back on the Share menu, click the Copy Link button
- You now have a link copied to your clipboard which you can paste where needed.
